In 2020 when offices closed, there was a need to support teams and leaders as the world went digital. We created this course to ensure that you know how to make the very best of every moment that you spend in a digital meeting room.

To help maximize the efficiency in upcoming meetings, consider getting very clear on the intention, what you want to have everyone walk away knowing, saying, or doing, and tying the purpose of the meeting to the original intent of coming together.

Have you ever wondered why you were invited to a meeting or didn't know who to invite so you invited everyone? You will find that productivity and engagement increase when people have purpose and can articulate the role they play in the meeting.

Learn some best practices around creating clear agendas and prepping people ahead of time. Remember, you are ultimately responsible for fostering the important conversations and keeping the meeting on track.

Before we dive into Module 2: Hosting, take some time to fill out the attached workbook.

Hot Tip: Taking charge to move your agenda along may be required. Share this at the beginning and people will respect your integrity and efficiency.

Setting expectations on how people interact, engage and where they feel prepared before hand can be the difference between low to high output.

How do you want people to arrive into your meeting? Once they're there, what will you do to get everyone quickly connected, understanding the environment and ready to do the work? Next we will share and demonstrate some tips on what being a good "host" looks and sounds like.

Do you ever notice when people start to lean back into their chairs, look away or have a glossy look? Dare do we say they may start emailing or looking at their phone? If you've experienced this, then it's time to do things differently and shift the vibe!

To ensure a smooth meeting where people are focused and feel included, narrate what you're doing. People may not know what's going on behind your computer screen and the pause or lack of discussion can feel uncomfortable for some. If you're using software that is unfamiliar to attendees, ensure you talk them through it at the beginning of the call to allow for maximum participation.

Learn the logistics of your camera and video to optimize engagement and experience for participants. These details may seem small, yet mastering them will create an exceptional experience.

Lights, Camera, Action. If your lighting is not right for your shot, you may not get the level of engagement you are looking for. No matter what platform you are using (example: Zoom, Teams) you can elevate the experience with lighting.

Your voice matters and what you have to share is important. If people are missing every second word or complete sentences, it can be challenging to get full participation and commitments. People being able to hear you clearly is a true gift that we can take for granted. Let’s up your game with headset prep and sound check.

For meetings where you share your screen and want to see all participants clearly we recommend two screens. Once you get the hang of it, it can keep your meetings flowing without any interruptions.
